Bringing your clients to Rula

If you have an existing client you’d like to bring over to your Rula practice, follow the instructions below to send your referral link.

  1. Confirm you accept your client's insurance
    • You can check which insurances you accept in the provider portal
    • Please note that after registration is completed by the client, Rula will complete a verification of benefits process and inform them of the estimated costs for their care before scheduling them with you.
  2. Review your schedule
    • Connect with the client to agree on a date and time for your first Rula appointment together. Be sure to check your schedule before agreeing on a time to ensure there are no conflicts.
  3. Navigate to the Clients tab of your provider portalScreenshot 2025-10-21 at 12.06.58 PM.png4. Select Add existing client
      • Enter the required contact information for your client
      • Follow the prompt that appears to update your availability and ensure that you are accepting new clients
          • If you are not accepting new clients, you will be notified as you submit your referral
          • To accept new clients, navigate to your Practice tab. Select Update new client status and toggle 'on' the ability to accept new clients.
  4. Make sure your client is ready to register
    • Once you initiate the referral link for your client, Rula will email them with a registration form to complete within 24 hours. 

Client Actions

Once you submit the client referral, your client will receive an email from Rula, prompting them to schedule a session. They will be taken directly to your provider profile and navigate through the scheduling and registration process.

Information required in the client registration form:

  • Consent form
  • Personal information (contact details)
  • Credit card information (payment method)
  • Client's insurance information for Verification of Benefits
  • Existing appointment date/time

Important Note: In addition to personal and insurance details, the client must also enter an existing appointment date to guarantee the hold is booked on the provider's calendar (regardless of provider status/availability).

*The client registration form is the only form they should fill out, and they must complete it in 24 hours to keep their appointment time.

Bringing over existing Kaiser clients

Yes, depending on the Kaiser market, you may be able to bring KP clients to Rula.
