To support this collaborative approach, Rula has launched provider-to-provider messaging within the provider portal. This HIPAA-compliant tool allows you to securely communicate with other Rula clinicians involved in a client’s care, ensuring that every member of the treatment team is working toward the same clinical objectives.

Clinical Consultation within the Rula Network

The provider-to-provider messaging feature is designed to facilitate clinical collaboration. Whether you are a therapist coordinating with a Rula psychiatrist on medication side effects, or a therapist connecting with a colleague providing family or couples therapy to the same client, this tool simplifies the communication process.

  • Clinical Focus: Messaging should remain professional, concise, and focused strictly on the coordination of the client’s care.
  • HIPAA Compliance: This is a fully secure, HIPAA-compliant tool integrated into the provider portal, replacing the need for external secure email or phone calls for internal coordination.
  • Internal Alignment: Use this feature to share updates on treatment progress, coordinate on safety planning, or discuss changes in clinical acuity.

Important: A release of information (ROI) is not required for provider-to-provider communication regarding a mutual client’s care.

Consultation with Outside Providers

Consulting with providers outside of the Rula network such as a client’s Primary Care Physician (PCP), a specialty clinic, or an external hospital is a vital component of holistic treatment.

While HIPAA permits the exchange of information with other healthcare providers for treatment purposes without an ROI, having an ROI on file fosters transparency with the client, protects their privacy, and ensures you are compliant with state-specific regulations that may be more stringent than federal HIPAA guidelines. 

Documentation Best Practices

A primary goal of care collaboration and coordination is ensuring that the client’s medical record reflects a complete picture of their treatment.

Whether you are consulting or coordinating internally through Rula messaging or externally via phone or email, it is a best practice to document these communications in the client’s record utilizing a Blank Note. 

Why Document Internal Messages?

While the messaging feature maintains a history of your exchange for your reference, a Blank Note serves as the official clinical record of that collaboration. It ensures that anyone reviewing the chart, including auditors or future providers, can see the clinical rationale and the resulting impact on the treatment plan. 

Using the Blank Note

Use the Blank Note in the provider portal to capture collateral contact or outreach. Your note should concisely detail:

  • Who was involved: The name and role of the provider.
  • The Rationale: The clinical reason for the outreach (e.g., "To coordinate on medication side effects").
  • The Outcome: A summary of the information exchanged and any adjustments made to the treatment plan.

Clinical Examples

Example: Internal Coordination (Therapist to Rula Psychiatrist)

"Coordinated with Rula Psychiatrist [Name] via Provider Messaging regarding client’s increased reports of insomnia since starting new medication. We agreed to monitor sleep hygiene over the next two sessions, and the psychiatrist will follow up with the client for a medication review. Treatment plan updated to include sleep hygiene interventions and goals."

Example: External Coordination (Therapist to PCP)

"Spoke with client’s PCP (Dr. Doe) via phone (ROI on file) to discuss the client’s recent diagnosis of a chronic thyroid condition. Discussed how physical symptoms may mimic or exacerbate the client’s anxiety. We aligned on monitoring these symptoms concurrently to ensure an accurate clinical picture."
