Seeing clients in person is easier than you think

Thinking about offering in-person sessions with Rula, but not sure where to start? Here’s what to consider — and how we can help you get started.

Figuring out if in-person care makes financial sense for your practice

Offering in-person care can feel like an investment, but a quick financial check can help you make a confident, informed decision. Start with these steps:

  • Estimate your office costs: Whether you’re leasing your own office or booking an hourly suite, note the monthly or per-hour rate — and don’t forget utilities or furnishings if they’re not included.
  • Calculate your income: How many sessions per week or month do you want to hold in person? What’s your average reimbursement rate? Use these numbers to determine your potential in-person income.
  • Calculate your break-even point: Once you know your costs and expected income, figure out how many sessions you’ll need to cover your office expenses — everything beyond that is profit.

Tip: Sharing space with other providers or using on-demand therapy suites can significantly lower your costs and help you start small.

Know your space options

Finding the right space for in-person care doesn’t have to be overwhelming. Start by exploring these common options and factors:

  • Explore different types of spaces: You can lease a traditional office, book an on-demand therapy room (like Olida or Tribe), or use a co-working* space designed for health professionals.
  • *Co-working space: Shared offices where multiple professionals rent desks or rooms. Some are designed specifically for therapists and include HIPAA-compliant features.
  • Check where to find listings: Look on professional platforms, peer groups, and collectives to discover available spaces in your area.
  • Factor in convenience: Consider commute times, accessibility, and parking for both you and your clients to make in-person sessions smoother.

Tip: If you only want to work in-person one or two days a week, look for another provider who already has an office and may be open to sharing or taking on a new tenant — it’s often the easiest and most affordable way to start.

Connect with colleagues

Sharing space with other providers can reduce costs and create a built-in support network. Once you’ve clarified your budget and space needs, reach out to your peer network or start with Rula’s provider community platform to explore shared space options and connect with others nearby.

Tip: Be specific in your outreach message about your practice type, desired schedule, and what you’re looking for — it helps potential partners respond faster.
