Sending welcome messages to your clients

In this article, we will walk you through setting up automatic welcome messages for your new clients in the Rula provider portal and why this tool can help you with your client relationships.

This optional feature will allow you to begin connecting and building trust with your clients before your first session even begins!

About This Tool

Rula understands how important it is that patients feel seen, supported, and ready to start their care journey feeling confident. The automated welcome messages allow providers to begin creating meaningful experiences by setting the right tone and offering support before clients even walk through your practice's door. 

This is an optional tool in the Rula provider portal that you can toggle on and off whenever needed. We provide a welcome message template that you can change and customize at any time to make it your own. 

How To Use This Tool

Below, we will show you how to toggle the automated welcome messages on and off and how to customize your welcome message. 

Getting Started

A pop-up will appear when you log into the portal, guiding you through how to use the tool.

Here, you can toggle the welcome message on and off and customize Rula's welcome message template to your own voice. Once you have everything set as you'd like it to be, you can click Save

Making Changes

If you'd like to make changes to your welcome message settings later on, you can follow the steps below:

  1. Log in to the Rula provider portal
  2. Navigate to the Message tab
  3. Click the gear icon next to the client search bar, then select Edit welcome message

  4. This will open a pop-up that allows you to make any changes to your welcome message, including turning the tool on and off via a check box.

  5. Once you have everything set as you'd like, click Save and close.

FAQ

Am I required to use this tool?

No, this is an optional tool. You can toggle the settings on or off whenever you'd like. 

Can I personalize the welcome message?

Absolutely! We've provided a template to get you started, but you can edit the welcome message at any time to reflect your own voice and approach. 

When is the message sent to clients?

Shortly after their initial appointment is confirmed. Welcome messages will not be sent to any existing patients if follow-up appointments are booked. 

Can I include links or attachments in the welcome message?

That functionality is not available at this time.
