Documenting Your First Client Session

We often get questions from therapists about what to do directly after their first client session at Rula. Beyond providing high-quality online therapy, there are a few tasks you must complete in order to properly document the session and be compensated for your time. The following video demonstration and guided steps will walk you through how to to access, sign, and submit notes.

Guided steps

Selecting a note

  1. Log into the EHR
  2. From the dashboard, on the left-hand side, double-click on the appointment that you want to write the note for
  3. Once the Note Template page is open, click the drop-down box to select the appropriate note for that client's appointment. (Some notes are billable, and some are non-billable.)
  4. Complete all yellow fields in the note
  5. If you’re not ready to sign off on the note, click Save

Note: AdvancedMD does not automatically save notes so it is important to click Save periodically.

Signing and submitting a note

Once a note has been signed off, it cannot be edited, so make sure you are ready to send it in.

  1. Once all the required information has been added, click Sign at the top of the page
  2. Type in the password, 1234
  3. Signing off is the step that generates the charge slip, once it pops up, look on the right under Charge Slip Summary and confirm that the CPT Code
  4. If everything looks correct, click Sign again
  5. Type in the password one more time, 1234
  6. The note and its associated charge slip then get submitted to the Rula Billing Team
