When you first have a client appointment, please give them your contact information so they can reach out to you.

Initial Appointment Scheduling Conflict

Our Intake Team schedules Initial Therapy appointments for you based on the current availability you set in the Rula provider portal. This is why it is so important to keep your calendar up to date. If you are no longer able to meet with the client at that scheduled time, please reach out to the client directly to find a time that works for both you and the client.

Client Drop-Out

If you have lost contact with a client and believe they will benefit from continuing therapy, please let our Care team know by emailing care@rula.com

Messaging clients in the provider portal

Rula offers a free, optional, secure, HIPAA-compliant tool for therapists use to communicate with their clients. Currently, this feature is only available for therapists with active portal accounts. To read more, review this article: Messaging in the portal.

Communicating with the RulaTeam 

Vacation

If you'll be on vacation or unavailable, please add blocks to your calendar so that our team knows to avoid scheduling you for new clients during those times. If you are unavailable for an extended period, please let our team know at support@rula.com

Sick Time

If you have appointments when you are out, please get in touch with the clients directly to let them know and reschedule if you need to. You can reschedule clients through the Schedule page of Rula's provider portal. If you experience any issues with rescheduling or need further assistance, please let our team know by emailing support@rula.com

Contacting The Rula Team:

  • To request a referral (psychiatric evaluation outside of Rula, IOP, etc.), see Requesting Higher Level of Care (HLOC) for instructions on submitting a request.
  • It is best practice for therapists to notify their clients before initiating a referral. To request a client re-match, please tell your patient and email care@rula.com
  • For questions on scheduling, the EHR, Rula policies, and anything else, please get in touch with the Provider Support team at support@rula.com
  • If you have compliance or HIPAA questions or concerns, you can contact privacy@rula.com to reach out to a member of our compliance team.
