This article includes a video and step-by-step guide for the initial setup of your Rula provider portal account. Beginning with email verification and password creation, it walks you through the process of establishing two-factor authentication via the Microsoft Authenticator app, including a QR code scan for enhanced security. A secret key is also provided to you as a reliable backup login method. The final verification process involves verifying your personal details to ensure secure access.
Note: New therapists do not receive their credentials for the Rula provider portal during the onboarding stage. Once you complete your onboarding, you will receive your credentials for the portal via email.

Guided Steps
Note: The provider portal only functions on a laptop or computer, and will not be accessible on your phone or tablet.
To set up your Rula provider portal account:
Step 1: Open the provider portal sign in page and enter the email address associated with your Rula account. Once you enter your email, you’ll see instructions to check your email. If you have an account associated with your email, you’ll get a welcome email. This may take a couple minutes to show up.
Step 2: Once you receive the welcome email, click sign in now and enter your email, temporary password and a new, secure password of your choosing. Then, click Update password.
Step 3: Select your mobile device type so that you can set up 2-factor authentication.
Step 4: During account setup, there will be written instructions on the left side of the page, and a video demonstration on the right side.
- Follow the instructions to download the Microsoft authenticator app, then click Next: Add an account for detailed steps on preparing to add an account.
- If you already have an authenticator app, click I already have an authenticator app
Step 5: Once you have opened the camera on your authenticator app, click Ready to scan QR code.
Step 6: Scan the QR code to add the Rula Portal account to your authenticator app. Once added, enter in the 6 digit code from authenticator app and click Authenticate my device.

- The code on authenticator apps refreshes every 30 seconds. If the timer is close to reaching zero, it is best to wait for the code to refresh to allow enough time to enter and submit the code.
Step 7: After your account is authenticated, you’ll be asked to save your secret key.

- This is a backup method to log into your therapist portal in the event you lose your phone, or lose access to your authenticator app. It’s important to keep this key in a secure place - without this key, it may take 3-4 days to regain access to your account.
- Once you have saved the secret key, click Continue to verification
Step 8: Enter in your date of birth and your NPI then click Verify.

- This must match the information provided during onboarding. If you get an error that the information does not match, contact Support.
Step 9: Once verified, you’ll arrive at the landing page for the Rula provider portal.
Resetting your password
Therapists can perform their own password resets via the Forgot password? link on the login page. A regular password reset by the therapists does not require 2-factor authentication to be set up again.
If, for any reason, you cannot reset your password by yourself, please reach out to support@rula.com to make a request. After the Rula Support team member performs a portal reset, you must both create a new password and set up the 2-factor authentication again. Failure to do so will result in the system not accepting your new permanent password after you have entered the temporary password.
